Connect your data template to your slide

Step 1: Download a Spreadsheet Data Template

You can download a template from two locations:

  1. Option A: Vibe Portal 
    1. Create a new slide.
    2. In the Content Source dropdown, select File Upload.
    3. Click the Download button to save a Data Template locally.

  2. Option B: Vibe Help Center
    1. Visit individual Template articles
    2. Download the supplied Data template that you can use to add your own data/messages/events.

Step 1: Choose your preferred content source

You can manage your data in three ways:

With data templates, you can manually upload your latest file into the Vibe Portal or centrally manage all of your data templates in Google Sheets or SharePoint.
  1. File Upload 
    1. Update the file locally.
    2. Save your changes.
    3. Upload the file to your slide via the Vibe Portal.
  2. Google Sheets or SharePoint (Existing Integration)
    1. Set up a folder in Google Drive or SharePoint.
    2. Copy the data template (XLSX) into your new folder.
    3. In the Admin Console, add the folder path to your API settings.

    4. In the Vibe Portal:
      • Select your data source in the Content Source dropdown.
      • Select your data file in the Data dropdown.
  3. New Integration
    Contact your Vibe Coach or the Vibe.fyi team to upgrade your subscription for an available data integration.

Common Data Entry Formats

Both PNG & JPG formats are supported.

The way you reference an image file will depend on the content source:

  • File Upload
    Enter "image:a_public_image_url" in the cell.
    e.g. image:https://vibe.fyi/Images/logo.png

  • Google Sheets
    Enter "=IMAGE(""a_public_image_url"")"
    e.g. =IMAGE(""https://vibe.fyi/Images/logo.png"")

  • SharePoint
    Copy your images into the parent folder where your data template is saved (or a direct sub folder), then reference the filename in your XLSX file, e.g.:
    • If your image is saved in the parent folder, the filename should be entered as '<imagefilename>.<fileformat>'.
    • If your image is saved in a direct sub folder, the filename should be entered as '<subfolder>/<imagefilename>.<fileformat>'.

Troubleshooting

Build Reliable Image URLs

  • Use exact folder names and casing.
  • Avoid spaces; use hyphens or underscores.
  • Include https in the base URL.
  • Match file extensions (.jpg or .png) and case.

  • Example:
    1. Image is saved in the parent folder
      https://<yourdomain>.vibe.fyi/Images/IMG_0005.jpeg

    2. Image is saved within subfolder
      https://<yourdomain>.vibe.fyi/Images/Assets/Icon-FaceHappy.png

    Set the Correct Slide Duration

    If the slide Duration field does not show "seconds per item" and the slide shows only one spreadsheet row at a time, we need to set a duration value that covers all spreadsheet rows. The steps to find the correct duration value are as below:

    1. Find the row that takes the longest to display.
    2. Measure the time it takes for its animation to complete.
    3. Enter that time (in seconds) into the Duration field

    Slide not updating?

    Check the name of the sheet and try renaming it to 'Sheet1'

    Keeping Your Data When You Change Templates

    Some Vibe templates share the same underlying data structure, which means they can all be managed using a single Vibe Data Template (XLSX file).

    When you choose “Change template” in the Portal, you'll see a list of templates that are compatible with your current data structure. These are the templates that can use the same data without requiring changes to your spreadsheet.


    Different data structures exist because:

    • Templates serve different content purposes. Check Vibe's Template Categories
    • They require specific fields to match their design.
    • They handle images and text differently based on layout and integration.
