Microsoft Teams Room (MTR) Setup Guide

This guide provides detailed steps for configuring Vibe to work on Microsoft Teams Rooms (MTR) devices. Follow these instructions to ensure proper setup and optimal functionality.

Key Points

  1. Device Compatibility:

    • The Custom URL option is currently available only on Windows MTR devices.
    • Android support will be available mid-2025.
  2. Licensing Requirements:

    • A Vibe Signage License is required for each meeting room display.
    • Use the Web Browser license type in the License Manager for the Custom URL.

Setup Instructions

 Managing Permissions for Digital Signage

Microsoft 365 Global Admins and Teams Rooms Pro Managers have permissions for tenant and room-level digital signage management:

  • Digital Signage Tenant Management Permission:

    • Enable, disable, or reset digital signage for the tenant.
    • Add or delete signage sources.
    • Assign sources and settings to rooms or room groups.
    • Set default signage settings for the tenant.
  • Digital Signage Room Management Permission:

    • Enable, disable, or reset signage for a room.
    • Select and modify signage sources and settings for a room.

 Adding a Custom URL as an External Signage Source

  1. Navigate to the Digital Signage Tenant Management page and click Add source.
  2. Enter a unique name and description for the signage source.
  3. Select Next and choose Custom as the source type.
  4. Enter the Web URL generated from the Vibe Admin console.
  5. Acknowledge the terms of use and complete the configuration by selecting Submit.

 Assigning Signage Sources and Settings

  • Tenant-Level Assignment:

    1. From the Digital Signage Tenant Management page, choose a signage source and select Assign to rooms.
    2. Review or modify signage settings as needed.
    3. Select rooms or room groups where the signage will be applied.
    4. Confirm settings and apply changes immediately or during the maintenance window.
  • Room-Level Assignment:

    1. Navigate to the specific room's settings in the Teams Rooms Pro Management portal.
    2. Toggle on Digital Signage under settings.
    3. Choose a signage source and adjust the settings.
    4. Apply changes and select when to configure the room.

Important Notes

  • Ensure the MTR device is online, connected, and signed into the Teams Rooms app to apply settings.
  • After restarting a room, it takes approximately 10–15 minutes for the Teams Rooms Pro Management agent to reconnect.
