Checklist for Desktop Channel Setup
Follow these essential steps to set up a Desktop Channel and display content on the Lock Screen, Background Wallpaper, or Screensaver. This guide covers:
✅ License setup
✅ Playlist creation & content compatibility
Step 1 (Optional): Set Up Users/Groups
To ensure the right people have access to your desktop channel, check the User Manager for a list of active users and verify that current
user and
group settings are correct. This step is optional but highly recommended for organisations that require controlled access or specific content targeting.
- Define Access Requirements - Before setting up users and groups, consider:
- Is access managed manually via the Vibe User Manager or through an external directory (e.g., Entra ID (Azure SSO))?
- Should all Vibe users have access to manage Desktop Channel content, or only specific teams?
- Do you need different content for each channel?
- Create User Groups - If you need targeted access, create groups based on:
- Department (e.g., Marketing, IT, Sales)
- Location (e.g., New York Office, Remote Employees)
- Role-based access (e.g., Admins, Portal Users)
- Assign Users to Groups and update permissions
- If you are using Entra ID (Azure SSO), map the relevant groups.
- If managing manually, add users to the appropriate user groups.
- Open your Vibe portal and check that the slide and playlist permissions are set correctly.
Step 2: Create License
- IT or Vibe Administrator
- Login to your Vibe admin console and open Licences
- Ensure the license is created specifically for the Screensaver, Lock Screen, Web Browser or Background Wallpaper [Learn more]

- To assign a specific editing group, use the licence permission setting to ensure that right grouop will have access to update content.
- Take note of the unique auth code(s) and your site URL. Your IT team will need this information during the installation.
Step 3: Content & Playlist Setup
Screensaver & Web Browser Channels (Dynamic)
- Create your slides (content) using the dynamic Vibe.fyi templates
- Create your playlists, assign one or more locations and add your dynamic slides
Notes:
- Video slides are automatically muted in the Screensaver channel.
Lock Screen & Background Wallpaper Channels (Static)
- Create static image slides using the Image (Single) template OR use the snapshot tool to create static versions of your dynamic content.

- Create your playlists, assign one or more locations and add your static image slides
- If multiple image slides are added to a Lock Screen playlist, the image will refresh every 2 minutes and the display will refresh each time the device is unlocked and relocked.
Notes:
- Lock Screen: When multiple image slides are added to a dedicated Lock Screen playlist, slides will transition every 2 minutes on your lock screen channel
- Login Screen: A single image from the connected 'Lock Screen' playlist is displayed when the login screen is active. When your playlist contains multiple static image slides, a different image will appear each time the device is unlocked and locked again.
